The Boardroom is booked by request, not through OpenTable. The path has five steps, and knowing them in advance shortens it.

Step 1: what to put in the inquiry

Give a headcount range rather than a single number, and say which fits: the Boardroom, which seats 8 to 20 at one table, or semi-private seating for up to 28. State lunch or dinner; the lunch menu runs weekdays from 11 AM, and dinner ends at 9 PM Monday through Thursday and 10 PM Friday and Saturday.
Then the specifics. The occasion. Any presentation, slideshow or game you want on the Boardroom’s large screen. Allergies and dietary needs. A budget range if you have one, since menus are tailored. Send it through the event inquiry form.
Steps 2 and 3: the reply and the proposal
The website asks you to allow up to 48 hours for the team to check availability and respond. The proposal that follows is where the numbers live. Parties of 10 or more are subject to a food and beverage minimum based on party size, and the amount is not published anywhere else, so the proposal is the first time you will see it. Any Boardroom group is presented with one check, no split checks. A 20% gratuity is added for parties of 6 or more, and composed entrées carry a $25 split-plate fee.

Step 4: setting the menu
Private dining menus are tailored to fit the group, drawn from the same dinner or lunch menu the dining room serves. The band runs from Grilled Chicken Pasta at $29 to the 27 oz Wagyu Long Bone Ribeye at $210, with the 6 oz Center-Cut Filet Mignon at $62 and the Hand-Cut Ribeye at $75 in the middle. Choose shareable sides for the table, decide on desserts, and pick wines from the published list; red blends run from $78 to $686. The deadline for finalizing the menu is not published, so ask for it when the proposal arrives.
Choosing a date the district will cooperate with
Two calendars matter: the restaurant’s and the Entertainment District’s. The Rangers play 81 home dates at Globe Life Field about a mile away, most of them evenings; AT&T Stadium hosts Cowboys games, mostly on Sundays when Mercury is closed, and concerts. Those nights fill the roads and the reservation book. Mercury sits north of the stadium lots on E Lamar Blvd, which eases arrival, and parking at the tower is free.
If the view is part of the plan, time the seating to sunset: about 5:40 PM in January, 7:55 PM in April, 8:35 PM in July, 7 PM in October and 5:25 PM in December.
Step 5: the week of the event
Confirm the final headcount, the arrival time and anything going on the screen. How far in advance should I send the private event request?
No minimum lead time is published. The Boardroom is one room, and December, graduation weekends in May, and Rangers and Cowboys game dates are the ones most likely to be contested.
