Venue specifications

If you are sourcing a venue for someone else, you need numbers before you need adjectives. Here is the Boardroom at Mercury Chophouse – Arlington as a spec sheet.

Anything a planner asks about that is not in this table, such as room rental, deposit and cancellation terms, is answered in the written proposal rather than on the website.

Audio-visual and presentation use

The AV system is built into the room, not wheeled in. The large screen is sized for a table of 20 to watch a game together, which is how the restaurant describes its most common use, and the same screen handles a slide deck, a welcome video or a remote participant on a call. Ask on the inquiry form how your presenter’s laptop will connect and whether you want the screen live for the whole event or only for a segment, so the events team can confirm the setup in the proposal.

The room’s own noise floor is low. It sits behind a frosted glass door off the main dining room, and the live piano near the bar stays on the far side of that door. For a presentation to a small audience, that is the practical difference between the Boardroom and a curtained-off corner of a restaurant floor.

Timing, hours and turnaround

The restaurant’s operating hours set the outer edges of your event window. Weekday events can run anywhere from a lunch start at 11 AM to a 9 PM close Monday through Thursday, or 10 PM on Friday. Saturday opens at 4 PM and closes at 10 PM. The restaurant is closed on Sunday, which rules out Sunday receptions and Sunday-night welcome dinners.

Set-up time before guests arrive, and how late the room can hold after the last course, are agreed in the proposal. State your arrival, program and departure times on the form and the events team will tell you what the room can do around them.

Access, load-in and parking

Guests park at the office tower and take the elevator from the lobby to Suite 910 on the ninth floor. Guests come through the glass doors lettered Mercury Chophouse and past the wine wall, which is a good first impression; if you are staging a surprise, ask the events team how to time the arrival. Details of deliveries, florals, signage, and anything that needs to come up the elevator ahead of the group are not published as a policy. Put them on the inquiry form and they will be confirmed with the proposal. For a seated dinner in a room that already has linens, chairs, glassware and a screen, most planners find there is very little to load in.

Billing that one person can sign for

Every group in the Boardroom receives a single check, and the same rule applies to parties of 12 or more in the main dining room. A 20% gratuity is added for parties of 6 or more, so the host is not asked to calculate it at the end of the night. Parties of 10 or more are subject to a food and beverage minimum based on party size; the figure for your date and headcount is quoted in the proposal, not published as a flat rate.

What the proposal covers

Submit the date, headcount, program and any AV or menu requirements through the event inquiry form. Within 48 hours you receive availability and a written proposal that states the food and beverage minimum, deposit terms, cancellation terms and the tailored menu.
